Job Description
Position Summary:
The Administrative Assistant will report to the GMP Facilities Manager and provide support in day-to-day operations of the Midwest Stem Cell Therapy Center. The primary responsibilities will include serving as a liaison for communication with both internal and external stakeholders; assist with organizing meetings, travels, conferences; preparation of reports; and performing duties that contribute to the effective operation of the Center.
Job Duties:
• Provides support to the GMP Facilities Manager in day-to-day operations of the Midwest Stem Cell Therapy Center and represent the Midwest Stem Cell Therapy Center to external entities
• Oversees the planning and scheduling of advisory board meetings and other meetings, manages various aspects of annual MSCTC conference, manages travel, luncheons, dinners, and other official functions of the Center as needed.
• Prepares or directs preparation of reports and correspondence for the GMP Facilities Manager and ensures timely and accurate completion.
• Collaborate with MSCTC Director and the GMP Manager to develop communications and marketing strategies to increase third party clinical supply manufacturing and other business opportunities
• Collaborates with KUMC Communications Department and media relations staff to identify potential stories for media coverage, social media topics and website posts and produces short articles/newsletters or clips for internal and external audiences.
• Plans, organizes and coordinates projects or events, such as visits, as directed.
• Collaborate with KU Endowment for potential fund-raising opportunities.
• Assist PI and Study Coordinator(s) in the development of recruitment materials for cell therapy trials.
• Other duties as assigned.
Required Qualifications:
• Bachelor’s degree in a relevant field. Experience gained in the performance of the principal accountabilities as described herein may be substituted for the degree requirement on a year-for-year basis.
• Five years of progressively responsible experience in an administrative or managerial capacity including direct supervision; demonstrated professionalism.
• Project management experience essential for effectively supervising multiple responsibilities of a growing center.
• Demonstrated strengths in interpersonal skills, as well as written and oral communication, to manage relationships with diverse constituencies; physicians, scientists, medical center leadership, legislators, donors, alumni, students and staff.
• Ability to work under pressure to meet deadlines.
• Proficiency with computer softwares and programs will be a plus.
Preferred Qualifications:
• Administrative experience in an academic setting.
